When it's time to send the intake link, the “on my way” SMS, or the payment instructions, the message is already written and copied to your clipboard. You paste it into your own iMessage, WhatsApp, or email thread and send it yourself.

So the family always hears from you, in the thread they already know — the connection stays yours. Tweak the wording if it doesn't sound like you that day; the link inside is the only part QoLly needs you to keep intact.

Controlled drugs, quietly handled. You carry pentobarbital in the car. The paperwork that goes with it has to be right — on the days you have time for it, and on the days you don't.

Their cremation tiers and keepsake catalog appear on the owner's intake form with your markup pre-applied, so owners see your prices and you see what you'll be paid. After the visit, the partner gets a handoff with everything they need. And it isn't a closed list — any aftercare provider can join QoLly; if yours isn't on it yet, point them our way.

    Bank-transfer payments with auto follow-up

    The owner gets a payment link with your bank details and a unique reference. When they've sent it, they tap I've made the payment — so you get a nudge to check the bank instead of refreshing internet banking for days. You tick paid when the money lands, and if a case finishes unpaid, a check payment follow-up appears in your Today screen automatically — so it doesn't slip your mind for three weeks. And because every payment carries its own unique reference, your bank statement reconciles itself.

    On Xero? Invoices raise themselves

    Connect your Xero organisation once in Settings. From then on, one tap on a case raises the whole bill as a draft invoice in Xero — GST-inclusive, with the invoice reference matching the owner's payment reference. When the money lands, reconciliation just lines up: no retyping line items, no copy-paste bookkeeping at the end of the month.

    Mileage logged — and optionally billed

    Set your home address once. QoLly quietly records the one-way driving distance to each visit — calculated with Google, snapshotted on the case so it never changes if an address is edited later. No logbook, no odometer photos; at tax time it's all there to total and export. If you charge for travel, QoLly works the fee out for you from the same distance — a free distance, then a per-km rate — and the owner sees it up front. Or be generous, visibly: show the fee and credit some or all of it back, so the owner sees the discount right on their payment link.

Who owns my data?

How long does setup take?
About twenty minutes for the basics: your name, your bank details, your usual services and prices, and the intake message you'd like to send. Drugs and safes you can add as you go.
What if I get stuck, or want help setting up?

Will my owners feel like they're using software?
No. Owners get one short link from you — by text, the way you already work — to fill in pet details, sign consent, and pick aftercare. They don't sign up for anything. They don't see a logo. It just looks like a form you sent them.
Do I need to switch from my current S8 register?
You can keep your current register and use QoLly only for scheduling and intake. When you're ready, the S8 register in QoLly tracks safes, bottles, batches, expiry, cocktails, prepared vials, and every ledger entry — updated automatically as you work.
Can I customise the intake message I send to owners?
Yes. The message is yours. You write it once in Settings using placeholders like {{owner_first_name}} and {{vet_name}}, and QoLly drops the right details in each time you copy it. You can also tweak the wording before you send if it doesn't sound like you that day.
What if I already have an aftercare provider I work with?
Pick them in Settings. Their cremation and keepsake catalog appears on your intake form with your markup pre-applied, and they get a handoff with everything they need after each visit. If your provider isn't in our directory yet, we'll invite them.
Does QoLly ever text or email owners on my behalf?
No. Never. QoLly drafts the message and copies it to your clipboard; you paste it into iMessage or WhatsApp and hit send yourself. The owner sees a message from you — not from an automated system. The one automatic email QoLly can send goes to the pet's usual clinic after a case completes — vet team to vet team, never to the family, and only if you've turned it on.
Is there an enterprise plan for a bigger group?
No, and there won't be. It's $99/month flat for the whole practice, and it's built for one vet, or two, or three. The moment we start building for a five-vet group we stop building for the vet in the car — so if you're a group, we're honestly not the right fit.
What if I want time off — can I get cover?
Yes — and without giving your client away. Hand the case to a colleague you already trust. You still answer the family's first text — thirty seconds, wherever you are — then delegate the case: it opens in the covering vet's QoLly with everything they need, while the case — and the client — stay yours.
